What’s included with my planning fee ?

Travel advisors save time and provide personalized service, including exclusive supplier relationships and immediate assistance. They offer valuable insights and resources to enhance travel experiences. We do a lot for you so you can have a more enjoyable trip!

Here’s a list of all the comprehensive services I’ll provide when you book with me! As your dedicated travel advisor, I will oversee all aspects of your travel planning.

I will provide ongoing support during travel and post-travel management, including airfare, accommodations, cruises, tours, and transportation arrangements booked with Travel by Marisa. Prior to departure we will review destination and country-specific information, packing suggestions, and dining recommendations to enhance your vacation experience. 

Before Departure

  • Research & Daily Plan
    • Review travel dates for potential conflicts with local holidays and events to minimize trip impact. Create bespoke draft itinerary after researching accommodation, transportation, and logistics.
  • Excursions/Tours
    • Personalized list of recommended excursions, tours, and cultural experiences based on clients’ preferences. I’ll confirm availability and act as a liaison between vendors and clients.
  • Itinerary Review Call
    • Review daily itinerary, excursion, event options, and travel insurance plans.
  • Refining itinerary
    • Incorporate the client-requested edits and finalize the itinerary.
  • Payment Management
    • Process credit card authorizations for deposits and payments.
  • Booking Management
    • Apply deposits and payments for airfare, hotels, excursions, transportation, and/or transfers.
  • Final Itinerary
    • Create a digital daily itinerary accessible online and via a mobile app.
  • Travel Documents
    • Upload all travel documents and instructions for each booked component.
  • Initial seat reservation
    • Depending on fare class, I may select seats at booking or provide clients with guidance on how to make their own seat reservations. Airlines reserve the right to modify or remove seat reservations without prior notice.
  • Travel ID
    • Upload passports, TSA, and other necessary info. Clients may still need to enter more data directly with certain vendors before check-in.
  • Recommendations
    • Prior to your travel, I will provide you with recommendations for packing, currency exchange, local tipping customs, luggage restrictions, and dining reservations based on your destination.
  • Questions
    • Available for ongoing questions before and during travel.
  • Monitoring
    • Occasionally, I monitor destination conditions for weather and strikes. Clients should always check the state department website for current information about their travel destination(s).
  • Invoicing
    • Provide the final invoice with deposits applied, final balances due, and payment dates.
  • Additional Travel Details
    • Digitally input client bookings and reservations, excluding tours not booked through Travel by Marisa, LLC. Information must be emailed no later than two weeks prior to departure. Examples include dining reservations/event information; the limit per trip is 10 client booked items.
  • Vendor Payments
    • Manage due dates and make final payments.
  • Confirmations
    • Confirm all accommodations, tours, and transportation. Communicate special requests to hotels.
  • Final Pre-Departure Call
    • Review daily final itinerary, vendor-specific instructions, vendor customer support numbers, emergency travel insurance support numbers, check-in dates/times/tasks, and any other questions clients may have before departure.
  • Check-in Reminder
    • Day before departure, I always ask clients to confirm with me they are checked in for their flight/cruise.
  • Day of Departure
    • I confirm with the client and online tracking software that they’ve departed.
  • Arrival Confirmation
    • Check with clients if they’ve arrived and are settled in their first night’s accommodation.

During Travel

  • Travel by Marisa Support
    • Available from 9 am to 6 pm EST. Vendor support lines 24/7.
  • Location Change Check-In
    • For itineraries that require moving cities and/or countries I will check in with clients that they have successfully settled into the new destination.
  • Management
    • During travel, I’m usually the main contact for tours, transfers, and bookings made with Travel by Marisa. I’ll notify clients and update the mobile travel itinerary if times, instructions, or anything else changes.
  • Day before Return
    • If applicable, remind the client to check in for their return flight.
  • Day of Return
    • I confirm with clients or online tracking software that they’ve departed for home.

Post Travel

  • Final Check-In
    • Confirm with clients they have returned home.
  • Trip Survey
    • I’ll send you a post-trip survey a few days after your trip ends.
  • Ask for a Review
    • If you’re happy with your trip, we’d love to have you write a review on Facebook.
